Who we are
The Upsilon Alumni Association is responsible for this website and the UAA records maintained through it. Privacy questions and requests may be sent to privacy@uclasigmapi.com.
Information we collect
- Account registration, administrator approval, sign-in and password-reset information.
- Member profile and directory information, including contact, affiliation and professional details supplied by members or preserved in authorized historical records.
- Articles, alumni updates, photographs, documents and other content submitted to UAA.
- Event registration, ticket, attendance and related operational information.
- Dues, contribution, purchase and refund records.
- Scholarship applications, transcripts, supporting documents, judging assignments, rankings, final ballots and administrative review records.
- General inquiries sent to UAA email addresses.
- Technical information needed to operate and secure the website, such as cookies, IP addresses, browser information and logs.
How we use information
UAA uses information to verify member access, maintain member and historical records, operate the directory and member tools, administer events and payments, review scholarships and awards, preserve publications and archives, respond to inquiries, send essential confirmations, secure the website, and meet administrative, accounting and legal obligations.
Services that support the website
Hostinger provides website hosting, backups, DNS and business email. WordPress and WooCommerce operate website accounts and commerce. Forminator supports online forms, and The Events Calendar and Event Tickets support event information and registration. Payment providers such as Stripe process payment information when their services are enabled. UAA-managed WordPress plugins support member access, content submissions, leadership, publications, events and scholarships.
These services may process information only as needed to provide their functions. UAA does not receive or store full payment-card details entered through a payment provider.
Who can access information
Access is limited according to each person’s role. WordPress administrators may access administrative records. Approved members may access authorized member areas. Scholarship administrators and assigned judges may access the application materials needed for their work. Princeton Kim Award judging is restricted to Princeton Kim, while administrators retain access for support and oversight. Authorized service providers may process information only as needed to host, secure, communicate, register or process payments for the site.
How long we keep information
Historical membership and scholarship records are retained permanently as institutional records with restricted access. Routine general inquiries are retained for two years unless they become part of an official membership, scholarship, financial, event, legal or other institutional record.
Other operational records, including event, transaction, form and technical records, are retained only as reasonably necessary for website operations, security, accounting, dispute handling and legal obligations.
Cookies and embedded services
The site uses cookies needed for WordPress authentication, account sessions, administration and commerce. Some pages may include media or services provided through the website tools described above. Those services may receive technical information needed to deliver their content or functions.
Your choices and requests
You may request access to or correction of your information by emailing privacy@uclasigmapi.com. UAA may verify your request through the email address associated with your record and may request additional non-sensitive information when needed. Do not send passwords, full payment-card information or identity documents by ordinary email.
Deletion requests may be limited when UAA must preserve institutional, administrative, accounting, security or legal records.
Security and policy updates
UAA uses role-based access and administrative safeguards appropriate to the website. No online system can guarantee absolute security. UAA reviews this policy at least annually and may update it as UAA’s services, legal obligations or operating practices change.
